How We Use and Share Information

We use your information only to run our programs and operate this website.

  • Assistance applications: to review eligibility, have a case worker contact you, provide help with bills, fuel, and emotional support, and keep records of assistance given.
  • Donations: to process your gift, send a receipt and tax acknowledgment, and thank you. We may occasionally send updates about our work; you can opt out at any time.
  • Contact messages: to respond to your question or request.
  • Technical information: to keep the site secure, fix problems, and understand which pages are most helpful.

We share information only in these limited cases:

  • Service providers who help us operate, such as our website host, PayPal for payments, and email services. They may use your information only to perform services for us.
  • Assistance partners such as landlords, utility companies, or fuel vendors, but only the details needed to pay a bill on your behalf.
  • Medical providers, only to verify diagnosis or treatment status as authorized in the General Release you agree to when applying.
  • Legal requirements, when required by law, subpoena, or to protect the safety of any person.

We will never publish a patient’s name, story, or photo without written permission.

Health and Financial Information, Security, and Retention

We treat diagnosis, treatment, and income details as confidential and limit access to the staff and volunteers who process applications.

Citrus Aid is not a healthcare provider or health plan, so the federal HIPAA law does not apply to us. We still handle your health information with the same care: we use it only to decide and provide assistance, and we never share it for marketing.

How we protect information

  • All pages on this site use an encrypted (HTTPS/SSL) connection.
  • Access to application and donor records is limited to authorized staff and volunteers.
  • Form submissions are stored securely and removed from the website once they have been transferred to our case records.
  • Payments are processed by PayPal and never stored on our website.

No website or electronic system is completely secure. If a breach affecting your personal information ever occurs, we will notify you as required by the Florida Information Protection Act (Section 501.171, Florida Statutes).

How long we keep information

We keep application records as long as needed to provide assistance and meet recordkeeping and audit requirements, then securely delete them. Donation records are kept as required for tax and accounting purposes. Contact form messages are deleted once your request is resolved.

Cookies and Third-Party Services

We use a small number of cookies to keep the site and forms working and to understand how visitors use the site. You can block or delete cookies in your browser settings; the site will still work, though some forms may need you to re-enter information.

This site may connect to these outside services, each with its own privacy policy:

  • PayPal for processing donations
  • Google Analytics for anonymous visitor statistics, if enabled. You can opt out with the Google Analytics Opt-out Browser Add-on.

Children’s Privacy

This website is not directed to children under 13, and we do not knowingly collect information from them online. An application may list that a household includes minor children, but we do not collect children’s names or details through this site.

  • Correct information that is wrong or out of date
  • Delete your information, unless we must keep it for legal or accounting reasons
